01. Scope and Acceptance of Terms
Welcome to Vet Flows (“vetflows.com.br”, “we”, “our”, or “platform”). Vet Flows is a specialized software-as-a-service (SaaS) cloud platform engineered for veterinary diagnostic imaging professionals, sonographers, teleradiologists, and veterinary clinics.
By creating an account, accessing, or using Vet Flows, you (“User”, “Veterinarian”, or “Clinic”) explicitly agree to comply with and be bound by these Terms of Service (“Terms”) and our Privacy Policy. If you do not agree with any part of these Terms, you must immediately refrain from accessing or utilizing the platform.
02. Eligibility and Professional Registration
The clinical, diagnostic, and reporting modules of Vet Flows are exclusively intended for licensed veterinary medical doctors (registered with their competent regional or national veterinary regulatory council, such as the CRMV in Brazil or international veterinary medical boards) as well as authorized administrative personnel of veterinary practices.
You warrant that all registration details provided (including full legal name, email, credentials, and veterinary license number) are truthful, precise, and current. Vet Flows reserves the right to suspend or terminate accounts that provide fraudulent or unverified professional registration credentials.
03. Veterinary Liability & AI Assistance Disclaimer
Vet Flows provides software utilities, web-based DICOM viewers, measurement calipers, standardized report templates, and artificial intelligence (AI) text assistance solely as workflow acceleration and decision-support tools. Under no circumstances does Vet Flows practice veterinary medicine or render autonomous diagnoses.
The issuing veterinarian retains sole, non-delegable, personal, and exclusive technical and clinical responsibility for all diagnostic interpretations, organ finding descriptions, measurements, clinical evaluations, and final signed reports generated on or distributed through the platform.
- AI Text Generation: Suggestions or drafted findings generated by AI features must be reviewed, edited, and approved by the responsible veterinarian before any report is finalized or issued to tutors or referring clinicians.
- DICOM & Image Calibration: Web viewer measurements, contrast adjustments, and zoom tools are supplementary display aids. Clinical diagnosis must always be substantiated by proper medical judgment.
- Regulatory Compliance: Users are solely responsible for ensuring that their diagnostic conduct, reports, digital signatures, and patient communications strictly adhere to all applicable veterinary medical codes of ethics and board directives.
04. Multi-tenancy and Clinic Account Management
Vet Flows operates on a secure multi-tenant architecture where clinics function as distinct workspaces. User accounts may hold specific roles within each clinic:
Full authority over billing, clinic settings, member invites, and tenant data.
Operational management, member access, patient records, and report templates.
Creating and editing clinical exams, uploading imaging, and generating reports.
Account holders are solely responsible for preserving the confidentiality of their credentials and for all activities conducted under their accounts.
05. Subscription Plans, Billing & Cancellation
Access to premium capabilities on Vet Flows is provided via recurring subscription plans (Basic and Pro), billed on a monthly or annual basis via integrated payment gateways (Asaas / Stripe).
- Free Trial: New accounts may be granted a complimentary trial period. No charges apply during the active trial. Upon trial expiration, access to premium features requires an active subscription.
- Recurring Charges: Subscriptions automatically renew at the beginning of each billing cycle unless cancelled prior to the renewal date.
- No-Refund Policy: Payments made for billed subscription periods are strictly non-refundable. We do not provide prorated refunds or credits for partial months or unused periods.
- Cancellation: You may cancel your subscription at any time directly through the Settings > Subscription page. Upon cancellation, your subscription will remain active until the end of your current paid billing period, after which no further charges will occur.
06. Intellectual Property and Content Rights
Platform IP: All software code, algorithms, visual designs, UI components, documentation, and trademarks associated with Vet Flows are the exclusive intellectual property of Vet Flows.
User & Clinic Content: You retain complete ownership and intellectual property rights over all medical records, patient data, veterinary reports, uploaded ultrasound/X-ray images, and clinic branding uploaded to the platform. By using the service, you grant Vet Flows a limited, non-exclusive license solely to host, process, and transmit this content for the purpose of operating the platform.
07. Availability, Maintenance and Backups
We strive to maintain continuous platform availability with high-grade cloud infrastructure and automatic multi-region database backups. However, temporary service interruptions may occur due to scheduled maintenance, software updates, or third-party infrastructure events. Vet Flows is provided on an “as is” and “as available” basis.
08. Medical Records and 5-Year Archive Retention
Vet Flows provides cloud archival infrastructure engineered to assist clinics in maintaining digital veterinary medical records and exam reports for the standard regulatory retention period of at least 5 (five) years.
Clinics may export patient records, PDF reports, and examination files at any time during an active subscription. In the event of account termination, users may request a data export archive prior to permanent tenant deactivation.
09. Termination and Account Suspension
Vet Flows reserves the right to suspend or terminate user access immediately, without prior notice, in the event of:
- Violation of any provision of these Terms or the Privacy Policy;
- Fraudulent, unauthorized, or illegal use of the platform;
- Unlawful practice of veterinary medicine without valid credentials;
- Actions that compromise the security, integrity, or availability of the service.
10. Governing Law and Dispute Resolution
These Terms are governed by and construed in accordance with the laws of the Federative Republic of Brazil (including the Marco Civil da Internet - Law No. 12,965/2014, the Brazilian Civil Code, and the General Data Protection Law - LGPD Law No. 13,709/2018), as well as applicable international standards (GDPR and US privacy regulations for international operations).
The parties agree that any dispute arising from or relating to these Terms shall be resolved primarily through amicable direct negotiation, or through competent judicial jurisdiction.
